Enhancing Learner Support with SevRes at Coleg Gwent

Background

At Coleg Gwent, staff in Learner Support Services noticed a recurring challenge: while students received effective guidance and support, it was not always coordinated across teams, and the strategies that worked for each learner were not consistently tracked. This made it difficult to provide timely, personalised support when learners needed it most.

The College wanted to ensure that learners had access to coordinated support that could adapt to their individual needs and would have a standard approach across level-of-need. Although they were effectively supporting learners, they noticed there were areas that could improve.

There really was not much continuity… support didn’t always follow the learner"

Why they got involved

Coleg Gwent first became interested in SevRes after visiting Cardiff and seeing the project in action. Observing how the platform improved coordination and responsiveness for learners elsewhere inspired the team to explore its potential locally.

The motivations for getting involved included improving support within FE, learning from best practice, and providing staff with tools to proactively address learners’ needs. Before SevRes any learner could refer themselves for counselling and waiting lists often extended over months.

Seeing the project in action showed us that learners could get the right support at the right time. That was really inspiring and made us want to explore it for our own students"

By joining SevRes, the college aimed to make interventions more timely, strategies more tailored, and support more visible across teams.

Implementation

SevRes was integrated into Coleg Gwent’s learner support processes as a central platform for managing wellbeing and support strategies. Staff could securely collect and store information, share insights across teams, and communicate efficiently to ensure learners received help when it mattered most.

SevRes has been wonderful. Responses are timely, and we can access the right information exactly when it’s needed,"

This structured approach allowed the college to provide coordinated, personalised support while making the process more visible and manageable for staff. It also ensured that the support provided was tailored to what the learner needed and adapt this across the learner-journey.

Outcomes

Since implementing SevRes, Coleg Gwent has seen clear improvements in learner support:

  • Learners now receive consistent, personalised support
  • Waiting lists for counselling have reduced significantly
  • Staff can track wellbeing and support strategies more effectively, improving decision-making
  • Teams coordinate proactively, reducing gaps in support and addressing challenges earlier
